How to Print on an Envelope in Microsoft Word

Need to print addresses directly on envelopes using Microsoft Word? Whether you’re sending wedding invitations, mailing business letters, or just trying to save time, Word makes it easy. Here’s exactly how to do it — no guesswork, no wasted envelopes.

What You Need

  • A printer that supports envelope printing
  • Microsoft Word (any recent version will do)
  • The envelope size you’re using

Step 1: Open Word and Start a Blank Document

You don’t need a special template — just open Microsoft Word and create a new, blank document.

Step 2: Go to the Mailings Tab

At the top of Word, click the Mailings tab. This is where all envelope and label tools live.

Step 3: Click on “Envelopes”

In the Mailings tab, click Envelopes (far left side). A pop-up window titled “Envelopes and Labels” will appear.

Step 4: Enter the Delivery and Return Address

In the Delivery address box, type the recipient’s address.
In the Return address box, type your own address (optional, but recommended).

Step 5: Choose Envelope Size and Layout

Click the Options button. Under the Envelope Options tab:

  • Choose your envelope size (e.g., #10 is standard in the U.S.).
  • Use the Printing Options tab to set how your printer feeds envelopes (face up or face down, which tray, etc.). This is important — check your printer’s manual or test a blank envelope.

Click OK to return to the previous screen.

Step 6: Preview and Print

Click Add to Document if you want to see how the envelope looks in your Word document.
When you’re ready to print, insert an envelope into your printer based on the settings you chose, and click Print.

Pro Tips

  • Test first: Print on plain paper or a scrap envelope to avoid wasting good ones.
  • Save your layout: Once it looks good, save the file for reuse.
  • Batch printing? Use Mail Merge to print a stack of envelopes with different addresses.

Final Thoughts

Printing directly on envelopes in Word isn’t complicated — once you get the hang of your printer’s settings, it’s fast and reliable. It’s a simple skill that makes your mail look clean and professional.
