How to Sign Documents in Microsoft Teams

Microsoft Teams has become a central hub for collaboration, but did you know you can sign documents directly within the app? Whether you’re approving a contract, signing off on HR forms, or completing client agreements, you don’t need to jump between apps anymore.

Here’s how to sign documents in Microsoft Teams, quickly and securely.

Option 1: Use Adobe Acrobat Sign or DocuSign in Teams

Microsoft Teams integrates with popular e-signature tools like Adobe Acrobat Sign and DocuSign. If your organization already uses one of these, you’re in luck. Here’s how to use them:

Step 1: Add the E-Sign App to Teams

  • In Microsoft Teams, go to the Apps section on the left sidebar.
  • Search for Adobe Acrobat Sign or DocuSign.
  • Click Add to install the app into Teams.

Step 2: Log In and Connect Your Account

  • Open the app inside Teams and sign in with your Adobe or DocuSign credentials.
  • You may need admin approval if it’s your first time using it.

Step 3: Upload and Send a Document for Signature

  • From within the app, click Start a new agreement or Send for signature.
  • Upload your file and fill in the recipients’ email addresses.
  • Add signature fields if needed, and send it.

Step 4: Track and Sign Inside Teams

  • You and your recipients will get notifications in Teams when it’s time to sign.
  • Open the document, review, and sign directly within Teams—no downloads needed.

Option 2: Sign Manually with a PDF Editor and Share in Teams

If you don’t have access to an e-signature app, here’s a workaround:

Step 1: Download the Document

  • Open the file shared in Teams.
  • Click the Download button to save it to your computer.

Step 2: Use a PDF Editor to Sign

  • Open the PDF in Microsoft Edge, Adobe Acrobat, or another editor.
  • Use the Draw or Fill & Sign tools to add your signature.
  • Save the document.

Step 3: Re-Upload to Teams

  • Go back to the Teams chat or channel where the document was shared.
  • Upload the signed version and notify the team it’s complete.

Tips for Smoother Signing

  • Use OneDrive integration: If documents are stored in OneDrive or SharePoint, you can sign and share without leaving Teams.
  • Get approval workflows: Use the Approvals app in Teams to track who has signed or approved a document.
  • Mobile signing: These steps also work on the Teams mobile app if you’re signing on the go.

Final Thoughts

Signing documents in Microsoft Teams is easier than ever thanks to built-in integrations and third-party tools. Whether you’re using an official e-signature app or handling it manually, Teams keeps everything in one place—no more email threads or file confusion.

If your team hasn’t set up document signing yet, now’s a good time to streamline the process.
